ADMINISTRATIVE ASSISTANT
Joffe Books, one of the UK’s leading independent publishers, is seeking an experienced administrative assistant to join our team.
The ideal candidate will be experienced in managing a busy workload with lots of competing priorities, and able to work to tight deadlines. They will have exceptional communication skills, be flexible and adaptable, and be a real team player. They will be able to demonstrate exceptional attention to detail, and an ability to identify and solve issues quickly.
In this role, you will be responsible for managing all our invoice payments; liaising with our out-of-house accounting and rights teams to process authors’ royalty payments; supporting our team in their day-to-day and managing all office administrative duties.

Key responsibilities
· Manage invoice payments: paying invoices, liaising with freelancers
· Team support: managing our HR central systems, trackers and calendars; ordering print copies for our authors; sending out press releases; overseeing awards nominations and deadlines, and coordinating nominations information; monitoring and responding to readers’ requests and incoming office emails; supporting with contracts management and filing; and assisting the CEO and senior leadership team with ad-hoc requests
· Office admin: placing weekly orders, IT support and new employee onboarding, mailings and collections, as well as keeping the office tidy. Managing team events, office visits and key meetings
· Oversee quarterly author royalties: liaising with out-of-house accounting and rights teams, assisting with the production of royalty statements, checking and processing of payments
· Manage tax forms: liaising with our rights agency, as well as accounting teams
· Manage the website: adding new books and authors to our website, as well as blog posts and office news
What we’re looking for
· Solid experience in an administrative role
· Basic financial awareness — understanding of invoicing, expenses, and payment processing
· Ability to manage multiple tasks, prioritize effectively, and work to tight deadlines without close supervision
· Outstanding attention to detail
· Proactive and resourceful in identifying issues and finding solutions
· Good business judgement with the ability to work independently
· Excellent written and verbal communication skills and the ability to build strong working relationships
· Flexible and adaptable — comfortable handling a wide range of duties and adjusting to changing priorities in a fast-paced dynamic and creative environment
· IT proficiency — excellent knowledge of all office software
· A proactive can-do attitude and a willingness to roll up their sleeves, collaborate and support others in a small team
· High level of discretion and judgment
Desired experience/skills (preferred but not mandatory)
· Experience working in a small team and/or small independent company
· Experience working in a media company, publishing company or other creative environment
· Contracts and publishing rights management
· Accounting
Salary: £26,000-28,000 per annum (subject to experience)
